Participant Medical & Risk Assessment Officer

General Description:  The Participant Medical and Risk Assessment Officer is an integral part of the team responsible for supporting the operations of The Experiment in International Living summer abroad program.  Since 1932, The Experiment has been a pioneer in international education for young people.  The Experiment engages young people in experiential programs that introduce students to different cultures through homestay, community service, language training, the arts, and cultural adventure. In summer 2018, The Experiment will send students and group leaders to 28 countries on 34 programs. experiment.org 

Position Summary: The Participant Medical and Risk Assessment Officer is part of the core Experiment team working both with the Admissions and Program staff to administer and implement high school exchange programs. The Experiment is strongly oriented towards accommodating applicants to participate in the program of their choosing; the Participant Medical and Risk Assessment Officer will be responsible for overseeing the Experiment applicant medical and mental health administrative process to ensure that program placements have the highest potential for participant health and safety. S/he will ensure that all program applicants are properly reviewed, Group Leaders and in-country partner organizations are prepared to manage participant health on program, and on-call staff are briefed of any pertinent medical or mental health concerns. The position also entails close collaboration with the Experiment Admissions team, and will use Salesforce, the Experiment’s CRM system, to manage and track parent/student communications and track data and pertinent information needed to complete the medical administration process. Familiarity with the thematic aspects and key components of Experiment programming, and risk management efforts is key, as this position will also serve as on-call staff during the summer programs. The Participant Medical and Risk Assessment Officer will also work closely with the Leader Hiring Coordinator on group leader health reviews and appropriate program placement where medical considerations may exist. We seek candidates with excellent coordination and teamwork skills as this position engages with other Experiment and World Learning departments, including international partner organizations.

Responsibilities and Duties:

·         Oversee and administer the applicant health review process, including the collection and evaluation of medical and mental health information for all Experiment program applicants;

·         Review for approval, all routine participant and group leader medical and mental health forms;

·         Focus further attention on applicants with identified red flag issues. Assess applicant’s suitability for their target program based on their medical and mental health history and the particular profile of the target program(s); adapt Mobility International’s Disability Interview guides for The Experiment to assist in robust and transparent review process

·         Follow up with applicant’s medical and/or mental health professionals as needed;

·         Follow up with applicant’s parents or guardians wherever appropriate and necessary;

·         Communicate with Experiment in-country partners to discuss identified student needs and ensure partner and country capacity for accommodation;

·         Consult with medical and mental health professionals (identified by The Experiment) where necessary; update medical and mental health screening procedures, including materials for trip leaders, annually

·         Oversee transmission of information to Experiment group leaders to ensure that they have an appropriate understanding of their participants’ pre-existing medical and mental health conditions;

·         Oversee the creation and implementation of individualized “Wellness Plans” as appropriate for particular participant conditions (asthma, diabetes, anaphylaxis, eating disorder, OCD, anxiety, etc.);

·         Coordinate with the Admissions team to re-direct applicants to alternate program choices which are better suited to their health needs;

·         When necessary, inform applicants and their families who are not medically cleared for participation;

·         Ensure that The Experiment is compliant with all applicable legal statutes which apply to the medical review process;

·         Facilitate training sessions during Leader Training Week;

·         Select, stock, and distribute program medical kits to group leaders;

·         Provide on-call support during the summer abroad programs: advising leaders, partners, parents, and staff on student management and ultimate decisions in programs, including responding to health, discipline, and behavioral issues;

·         Serve as Disability Services Coordinator for The Experiment; ensure that Disability Policy is updated and published in accessible formats (website, medical forms, Admissions materials, etc.); create and publish Accommodations request form; work with participants and support team, trip leaders, and program officers to ensure a reasonable accommodations plan is in place wherever possible;

·         Assist with updates and review of group leader medical forms and supporting any accommodations requests;

·         Annual review and updating of participant medical forms, including Immunization Exemption form, to ensure compliance with all U.S. and International legal expectations & best practices;

·         Annual review of International Narcotics Board policy updates & country specific regulations as it pertains to traveling with psychotropic meds, injectable medications, etc;

·         Create country specific accessibility guides; review program itineraries and evaluate based on physical accessibility, accessibility for hearing and vision impaired participants, accessibility for students with Autism, Learning Disabilities, or Mental Health concerns; explore cross-cultural perspectives on disability; and

·         Other duties as assigned.

Required Qualifications:

·         Master’s Degree or Bachelor’s degree and 3-5+ years relevant experience;

·         3-5 years of experience with international student programs;

·         A current certification as a Wilderness First Responder, Emergency Medical Technician, Travel Medicine First Responder, or equivalent;

·         A background that would assist in understanding medical review issues – specifically as they pertain to international travel and adolescents;

·         A background in, and familiarity with mental health, such as having done extensive work with one or more populations with special needs;

·         Significant international cross-cultural travel, study, or work experience;

·         Ability to discern appropriate level of communication with multiple audiences and maintain confidentiality around complex and sensitive issues;

·         Willingness and availability to participate in on-call duty rotation while summer programs are in session, including during assigned nights, weekends, and holidays;

·         Excellent written and oral communication skills;

·         Superior interpersonal, communication, cross-cultural, organizational, and time-management skills with excellent attention to detail;

·         Ability to take initiative, be flexible, and work independently and with a team in multicultural environments as needed; and

·         Demonstrated ability to manage multiple tasks simultaneously, coordinate activities in multiple locations (U.S. and overseas), and to prioritize competing tasks.
